Who you are dealing with
RecruitScreen is built and operated by Indxtree Pty Ltd (ABN 22 699 760 113), an Australian company. We are the people who wrote the software and who answer the phone — there is no offshore support desk in between.
Where candidate data is stored
Candidate video recordings, transcripts and candidate profile data are stored in Sydney, Australia. That is the default and only behaviour. It is not a paid upgrade, an enterprise add-on, or a regional option you have to ask for.
What happens outside Australia
Storing data and processing it are two different things, and we would rather be plain about the difference than let "hosted in Australia" do more work than it should.
After a candidate submits their answers, the recordings are assembled into a single interview and transcribed. That processing runs on servers in Singapore: recordings are retrieved, processed, written back to Australian storage, and the temporary working copies are deleted. No candidate content is stored at rest outside Australia.
Some account and operational services — payments, email delivery, website analytics — are provided by specialist companies, some located outside Australia. These handle account and service data, not candidate recordings or transcripts.
Who can reach candidate recordings
Recordings are held in private storage. They are not publicly addressable and cannot be found by guessing a URL. Every time a recording is played or downloaded, the request is checked against the viewer's workspace membership and a short-lived link is issued for that request alone.
Data is encrypted in transit and at rest. Accounts support two-factor authentication using an authenticator app, and it is enforced at sign-in rather than merely offered — a workspace can require it for every member. Sign-in with Google is also available.
A workspace has two roles: administrators, who can create campaigns and remove candidates, and members, who review. Both see every campaign in that workspace. There is no per-campaign access, so to share a shortlist with someone outside your team — a client, a franchisee, an external panel member — export it rather than inviting them in.
How hiring decisions are made
RecruitScreen does not score, rank or shortlist candidates, and does not make automated hiring decisions. There is no suitability score, no ranking, and no algorithm deciding who is worth a call. Your reviewers watch, rate and decide.
Transcripts are produced by speech recognition models we run on our own infrastructure. Candidate recordings and transcripts are never sent to third-party AI services, and are never used to train shared or third-party machine-learning models. Transcripts are an aid for skimming and searching; the recording remains the record.
How long data is kept
Candidate recordings and transcripts are deleted automatically 12 months after they are recorded, and 30 days after a candidate is archived. Your workspace can set a shorter retention period — 12 months is the maximum — and you can permanently delete candidate data at any time.
When recordings are deleted, your hiring record is kept: the reviews, ratings, decisions, comments and stage history stay in your workspace, so you retain a record of how a decision was made. You can delete that too.
Candidate experience
Candidates record in their browser. There is no app to install and no account to create, so we are not building a profile of candidates across the employers they apply to. Candidates see your organisation's disclaimer before they record.
Video screening is a structured first round, not a replacement for judgement or for your obligations. If a candidate cannot complete a video response, offer a reasonable alternative.

Our Privacy Policy sets out how personal information is handled, consistent with the Australian Privacy Principles. Our Terms of Service and Refund Policy cover the commercial arrangement. Pricing is in Australian dollars, inclusive of GST.
